Mode of Presentation
HLCONF offers three presentation formats: oral and poster presentations at the venue in Paris, and live virtual presentations. Presenters submit their work for peer review and register after acceptance.
Standard Presentation Allocation
Presentations normally allow 15 minutes per presentation. Your exact slot and Q&A arrangements will be included in your presenter instructions.
Programme
The programme is prepared based on accepted and registered presentations and is emailed to registered participants when ready.
Oral Presentations
How it works
You present your research in person at the venue and may use slides. Your 15-minute allocation and the Q&A arrangements are confirmed in your presenter instructions.
Essential preparation checklist
- Rehearse so that your presentation fits the assigned time.
- Check that your slides and any embedded media open correctly.
- Bring a backup copy of your slides, for example on a USB drive.
- Name your file with your name and, when known, your session.
- Follow the arrival and slide instructions in your presenter email.
Slide and delivery advice
- Use readable fonts and keep text on each slide short, so the audience can listen rather than read.
- Include figures and charts only where they make a point clearer.
- Make sure text and background contrast well, so slides are readable from the back of the room.
- Follow a clear sequence: context, method, findings, conclusion.
- Explain specialist terms, because the audience includes researchers from different fields.
- Rehearse at least once aloud to check timing and flow.
Equipment and technical assistance
Details of the equipment available in the room and file requirements are included in your presenter instructions. If you have special requirements, contact us in advance so we can confirm what is possible.
Practical note
Please send your slides only as described in your presenter instructions. The submission update form is for academic papers and cannot be used for slides.
Poster Presentations
How it works
Your poster presents your research visually at the venue. Please be available at your poster during the assigned poster session to explain your work and answer questions.
Poster specifications
Poster presenters will receive the poster size, orientation and display requirements with their presenter instructions.
Printing and delivery
Instructions for printing, bringing and displaying your poster are included in your presenter instructions.
Design advice
- Show a clear research title, author names and affiliations at the top.
- State your research question or objective, then summarise methods, findings and conclusion concisely.
- Use visuals that help explain your results.
- Choose a text size and layout that can be read from a comfortable distance.
- Include key references where appropriate.
- Ask a colleague to review the poster for readability before printing.
Attendance and changes
Poster presenters attend their assigned poster session. If you can no longer attend in person, contact us about switching to virtual participation. A switch is not automatic.
Virtual Presentations
How it works
You present your research live online and share your presentation with the session. The academic process is the same as for in-person presenters: submission, review, acceptance and registration.
Timing and joining instructions
Standard presentation allocation is 15 minutes. Your session time and private joining details are sent to registered presenters by email, with instructions on when to join.
Technical checklist
- A reliable internet connection
- A tested microphone and camera
- Screen sharing tested with your slides and any media
- A quiet space with good lighting
- Notifications on your device switched off
- The conference platform tested in advance, following your joining email
Documents and publication
Virtual presenters receive the certificates that apply to their participation. Publication follows the same conditions as for all presenters: accepted and registered abstracts are published in the Abstract Book (ISBN), full papers that pass peer review may be published in the Proceedings (ISSN and DOI), and journal publication depends on the journal editors' decision.
